Today I want to show you how a digital HQ turned a service business into a money printing machine.

One company, three full time employees tied up in a single process. They had 255 orders every month arriving with some kind of error in them. They deal with a lot of documents, and those documents can be wrong or have fields filled out incorrectly. Every invalid order triggered a massive back and forth between two external parties. Manual follow ups, resubmissions, escalations, wasting hours of time every single week.

We built one application. Now they process twice as many orders and they have two order issues per month. The best part is that one part time employee manages all of it. No more back and forth. No more mess. In their own words, it is literally printing money.

[ON SCREEN: "This is what an AI employee actually is"]

This is what AI employees actually look like inside a service business. It is not a chatbot you ask little questions to, and it is not a fancy to do app. It is something that does the work for you. It is a system that replaces the work itself. Let me show you how.

Before we get into it, a quick intro. My name is Dylan. I have been running DataCose for five years, helping over 60 service businesses, and scaling a team to over 20. I have had a lot of time to watch what breaks in service businesses and to see what fixes them.

This video is about three specific things I see service businesses doing every single day that should be handed over to AI employees immediately.

[ON SCREEN: "1. CRM notes and logging"]

Problem number one is CRM notes and logging communication. Making sure you capture the most important things out of every client call, email, text, whatever it may be. What matters is that somebody or something has to log it. Nobody logs it because it is fun. No one likes doing it. You log it because the next step in the process, or the next person or AI employee who works with this client, will be flying blind without it.

For most service businesses, CRM logging is falling between the cracks, being done poorly, or being done very inconsistently. And even if you do it well, you are creating bottlenecks around your most expensive people. If you or someone on your team has to spend an extra 20 or 30 minutes writing detailed notes after every call or customer communication, that is time they cannot spend on calls with other customers.

[ON SCREEN: "Nobody has to remember"]

An AI employee handles this automatically. Calls, emails, and texts converted straight into useful notes in your CRM that you can reference later. Nobody has to remember. Nobody does it twice. No one skips it because they are too busy. That is the first thing you should pass off to an AI employee immediately.

The second thing is proposals. If you run a service business, proposals are probably an important part of your workflow, and they eat your senior people's time. Even if you have a template that is 70% the same every time, you really should be tailoring it to the needs and wants of the person you are making the proposal for. I have seen people spend two to three hours writing a single proposal.

[ON SCREEN: "2. Proposals in minutes, not hours"]

An AI employee trained on your services, your business model, and your pricing can create one of these in minutes. Then your team reviews it in 10 or 15 minutes, puts the final polish on it, makes sure the pricing is spot on, and sends it to the client. You get the same level of output and quality, or even better, without all of the manual overhead.

And I say even better for a reason. What we are seeing is that AI spends far more time personalizing the proposal to the prospect than a human could feasibly do in a normal day. It would have to be someone's full time job, and even then they might run out of time.

[ON SCREEN: "3. Reporting on demand"]

Now the third thing you should hire an AI employee for is reporting. All of your reporting. Business reports, project status updates, monthly performance summaries for your team members and for your clients.

Most of us already have this data sitting across all of our different tools and systems. It is just challenging to go track it down, clean it up, and put it together into a report. Because of that, many of us do not do it at all, or we only take the time to do it once or twice a year.

This task is very important, but it should not cost you a ton of overhead. In today's world, with all of the information we have stored in our applications and online, we should be able to produce these reports whenever we need them, in a moment. That is exactly what an AI employee can do.

[ON SCREEN: "Only surface what matters"]

It can even monitor your systems in real time and only surface a report when it is relevant or important for you to see today. Instead of drowning in reports about every little thing happening, we have seen it work very well when the AI decides whether to surface a report based on what you have instructed it to look out for, or based on something it believes you should be aware of.

And even if you do not consume every report today, the AI can build a library of them. That lets a future AI employee reference past data and see the bigger picture of the trends happening in your industry, in your business, across your team, and across your client portfolio. That is very, very important information.

[ON SCREEN: "Work humans hate doing"]

So those three categories are totally different areas of the business, although in business everything is interconnected one way or another. They are all things AI employees can do effortlessly, and things humans really do not like doing, or that we simply do not have the capital or the extra time to do ourselves.

Now here is the biggest concern I hear from business owners when I recommend they start here. They say things like, our processes are just too complicated. Our reports are too tailored, too custom. I hear it constantly, and I actually get it. Just a few years ago, automating these complex processes to 80% or 100% was completely impossible. All of that is changing, and let me show you why.

[ON SCREEN: "Old automation: if this, then that"]

In traditional automation, we had to write if then rules for everything. Literally everything. If the automation ran into something it did not know how to handle, it broke instantly. To figure out why it broke, we had to dig through the logs, then try to recreate the exact environment it was running in when it failed. It was painful. It was hard to maintain and hard to build anything really robust. We were stuck in a never ending loop of trying to harden the system so it would not break in the real world.

That is not how AI employees work at all. AI employees operate on step by step instructions written in plain English. When they encounter something they do not know how to handle, they either try to figure it out using their best judgment, or they come back to a human and ask for input. In plain English. No more digging through logs.

[ON SCREEN: "It explains itself. It improves."]

The AI employee will actually explain the limitation it ran into, along with ideas and suggestions to overcome it. All you have to do is say yes or no, or give it the correct input. Then it takes your input and updates its own instructions, so next time that situation comes up, it already knows how to handle it. They explain themselves, they improve over time, and they do not require thousands of lines of code to keep running. That is an absolute game changer for business and for automation.

For me personally, I spent years in software development. I thought writing custom code and building custom automations was complicated, challenging, deeply technical work. AI has made quick work of it. I have been incredibly humbled. Honestly, most of the time now, it does it better than I do.

[ON SCREEN: "50% is the floor"]

So if AI can assist in complicated software development projects, it can definitely help you take better notes in your CRM, create tailored proposals for your leads, and handle a lot of the reporting you should be running.

At a very minimum, 50% of the things you do in your business can be handled by AI. We like to start with the low level work to free your humans up for the higher level work, but 50% is the floor. More realistically, I believe it can do 80%. And I am not making that up. That is what I am seeing in the real world when we start hiring AI employees into real service businesses.

[ON SCREEN: "This is not just for Google and Microsoft"]

Here is the main thing I want you to take away from this video. AI is not just for Google, for Microsoft, for the really big companies. You can start using it in your business today.

The cost of building AI powered systems has dropped dramatically. We can develop custom solutions four to five times faster than we could two years ago, because AI is involved in the entire development process. Those cost savings pass directly to business owners. Right now we are in a once in a lifetime opportunity for small and medium businesses. You have the chance to take on much larger competitors with smarter systems and AI teams.

So the real question is this. Will you be one of the owners who adopts AI early and uses it to scale, or will you sit on the sidelines while your competitors do it?

[ON SCREEN: "This is not anti human"]

There is one thing I want to be clear about, and one narrative I want to push back on. This is not anti human. It frees up your existing human talent to do the things that really matter. Not the low level work, the high level work. It also creates opportunities to leverage your people in ways that were never possible before. They can use their full skill set, their full interests, and their creativity to market the business, grow it, and build strong relationships with your customers and your suppliers. It creates a much better place to work.

I have seen this play out in a few different ways. Another great outcome is when you do not give your employees new things to do at all. They simply do the 20% that AI cannot do, and they do it exceptionally well, because now they have the time for it. They are not stressed trying to move information around, write quick little notes, or prepare endless documents. They can focus purely on what matters, and they are a lot less stressed, because it is easier for them to double down, or in this case quadruple down, on the work that counts.

That is really the challenge right now. The businesses that figure out the balance between their AI employees and their human employees are going to dominate their industries over the next few years. The tech is incredible, and the cost to develop it has dropped tremendously. That creates an incredible opportunity, and it is available to any service business that decides to give it a shot.

I have looked behind the curtain of over 60 service businesses, and I am seeing an extinction event in real time. Because I understand the technical side and the business side, I know exactly where things start to break down and where money gets wasted. I am not here to give you tips. I am here to give you the exact blueprint for what to do when tech and business collide in an AI economy, and to help you grow your service business without the pain and struggle of scaling a large team.

So here is the truth about scaling a team. The more people you have, the more people you need to manage. It feels like growth, but for many business owners it becomes a trap.

When I had a larger team, I honestly lost track of many of the numbers I should have stayed on top of. I was stuck in reactive firefighting mode, and even though our revenue had never been higher, I had no time to work on the business. The business owned me more than I owned it.

I could not track profit per person, per project, or per task. My team and I were copying and pasting data from a ton of different systems, trying to put it on some sort of dashboard so we had the smallest clue of what was going on. Because we had no systems to provide warning signals, we only found out about issues after the fact. By the time people reached out to me, it was too late, and I was living the business owner's nightmare of constant damage control.

Take a moment and ask yourself two questions. Do you know the profitability of every project? Do you know the status of every project right now?

If the answer to either of those lives inside your head, your business is too fragile. And when it comes to AI, you are already starting to fall behind, because you are not even in a position where AI can help you most. This should be a major priority for you.

Even if your team happens to know the answers to those questions, if the answers only live inside people's heads, that is a major business risk. If they leave, the key information you need to run your business leaves with them. If they are unavailable, you are stuck.

This is why building a digital HQ is so important. Having all of your information in one centralized system means your institutional knowledge is not lost when someone leaves. You are actually building an asset that someone else will be very eager to buy. And it sets you up to explode with AI.

The biggest mistake I see business owners make is treating AI like a chat interface instead of an employee that can do real work in your business without you prompting it every single time. The businesses getting the most out of AI right now are not just prompting. They are building teams of AI employees that do the work faster, cheaper, more reliably, and automatically in the background.

So here is what makes an AI employee an AI employee. It is not a tool that waits for you to prompt it. An AI employee has a very specific job to do, and when it needs to do it, it wakes up and does it without being asked.

An AI employee has a few things. It has a defined workflow that it is responsible for. It has a specific trigger that activates it and starts the workflow. It has a set of inputs it uses to do the job properly, and it may have additional context it looks at, for example a strategy document or brand guidelines that help it do a better job. Most importantly, it has a step by step SOP written in English that it follows.

Lastly, and this one is optional, it might have a QC check. Before it marks a task done, or before it submits work to a human for approval, it runs a quality check against criteria we have defined, just to make sure the output actually lives up to the standard of the task before a human is pinged to review it.

Take client onboarding as an example. When a client signs an agreement and pays the first invoice, the AI employee is not waiting for someone to tell it to begin onboarding. It just starts. It looks at the welcome email template and tailors it using the transcripts of the sales calls that happened before, the agreement, and any other valuable context. Before sending the email, it might create an onboarding questionnaire form and include that link inside the email. It might look at the team's calendar and coordinate a few good kickoff dates and times to include so the client can choose. Then it finds the deal that the agreement was associated with inside the CRM and marks it closed won.

[ON SCREEN: "One trigger. All of it."]

All of that happens automatically in the background from a single trigger. That is a great example of an AI employee. It is not a prompt and it is not a template. It is a worker with accountability.

So here are three incredible AI employees I recommend every service business consider hiring first. This is based on working with over 50 service businesses. These create the fastest ROI, and they are also easier to build, because they do not necessarily require a human in the loop to approve the final output.

[ON SCREEN: "1. The CRM logger"]

The first AI employee is a CRM logger. In our company we call this employee the CRM data clerk.

The CRM data clerk is triggered after every single call. We no longer have to go into the CRM afterward and take notes on what we think is important, figure out what is noteworthy and what is not, or look at the handwritten notes we scribbled during the call to remember what to write down. All of that is gone.

If we are being honest, we forgot to do it all the time. It was a pain. We knew we should be doing it, but there is so much we should be doing, and so much we actually have to do in the next 24 hours. We are busy business owners with clients to serve. So this is often one of the first things we drop.

[ON SCREEN: "Triggered the moment a call ends"]

Our CRM data clerk wakes up the moment we end a call. It is triggered by our transcription tool, Fireflies. Its first step is to identify whether the call was internal with just our team, or whether it included an external participant, someone not on our DataCose domain.

If it was an external call, it creates a note about what we discussed. There are four things we care about personally, so it creates four sections inside the note. Then it looks into our CRM to see if this contact already exists. If so, it matches. If not, it creates a new contact. Then it attaches the note to the contact and includes a direct link to the Fireflies transcript at the bottom.

[ON SCREEN: "Keeping the team in the loop"]

We also have a partnership manager. If a partnership is discussed with DataCose at any time, it goes into Slack, and the CRM data clerk pings her, tells her what was discussed, and fills her in. She can always open the transcript if she has follow up questions. That alone has been tremendous for keeping her in the loop while we are having all of these meetings with potential partners, or with clients who can become partners.

This data is so important to capture because you can use it downstream for additional AI employees, to provide more context about the person you are interacting with. For example, we can use it to remember the services a partner provides. If we talk to a new person or an existing client and they mention needing a service we do not provide, the system can look through the CRM, see the notes that were taken, and surface a referral opportunity where we connect that client to one of our partners.

[ON SCREEN: "No hunting. No remembering."]

We do not have to do the hunting or the searching. We do not have to remember the right partner in the exact moment we are on the call. It can all happen automatically, and that is a downstream automation the CRM data clerk enables.

It also lets you automate your proposals and agreements down the road based on the conversations you had before. It makes sure everything you promised gets included in the scope, so the client is fully in the loop and every expectation is met.

[ON SCREEN: "2. The proposal writer"]

Speaking of proposals, a proposal writer is the second AI employee on the list.

If you are like most teams, you are not creating a completely new proposal every single time. You are using at least 70% of the same information. The same offer, the same framework, the same or very similar pricing. And yet, despite having templates, it still takes one, two, sometimes three hours of a very senior person's time to put the proposal together, get the agreement built, and load it into PandaDoc or DocuSign for an e signature so everything can move forward.

If we are honest, nobody likes doing this. Personally, the only thing that gets me through it is knowing there is probably a sale coming out the other side.

[ON SCREEN: "The conversation is a goldmine"]

An AI proposal writer knows your offering, knows your services, knows your client, and can also look into the discussions you have had before. Looking into the conversation is an absolute goldmine. Not only can you make sure the agreement fulfills every expectation you set with the client, you can tailor the language to mirror exactly what they highlighted as their goals for the engagement and the challenges and pains they are walking in with. That makes the proposal land so much better, without taking hours of a senior person's time.

These proposals can be created in under five minutes by an AI employee. And even if it is not ready to send immediately, maybe your AI employee needs a bit more training to be dialed in 100%, a team member can take what has been prepared, review it, and put the final 10 to 20% of finishing touches on it.

[ON SCREEN: "Senior time on the parts that matter"]

What I love about this is that a senior employee's time is not wasted typing repetitive, basic information into a template. Instead, he can spend that 30 minutes or that hour making the proposal the best proposal possible, focusing on the things that matter most and making sure those are top quality.

That is one of my personal favorite advantages of using AI employees. Proposal creation time can easily drop to 30 minutes or less, and the quality actually increases, because your best team members are only looking at the most important parts and doing whatever they can to make those two or three times better.

[ON SCREEN: "3. The status reporter"]

The third AI employee is a status reporter.

Whether it is management inside your company or your clients, everyone wants to know how projects are progressing. To do that today, a lot of teams pull data manually and compile the reports by hand. It might be semi automated, but it is still wasting valuable team member time. And that is if you are providing reports at all. If you only provide monthly reports, a lot of clients would prefer weekly or biweekly. Even if they do not read them, it helps them know you are on track, you are transparent, and everything is okay.

[ON SCREEN: "Auto send, or ping a human"]

Your status reporter can pull all relevant data in real time, say every Friday at the end of the week, and prepare the report based on a template. If everything in the report is great, it can go ahead and auto send it. If there are things in the report that might be alarming, it pings one of your team members on Slack, or whatever tool you use, and asks them to review it, soften it, or deliver it with additional context and a human note.

And even if you decide not to deliver the report, it is very important to have these alerts surface problems before they grow into major issues. A lot of teams are just busy, and things get missed or overlooked. This keeps you on track.

[ON SCREEN: "Transparency builds trust"]

I have personally seen this decrease a lot of the overhead in managing clients. Even if they do not read the report, they know you are on top of things. They do not have to worry about you. They do not have to ask for updates. A lot of the time they are not even asking because they care about the detail, they are asking to make sure you are doing what they are paying you to do. So this is a great way to elevate transparency and increase the trust you have with your client.

[ON SCREEN: "But our processes are too complicated"]

Every time I describe automation, I hear the same thing. Our processes are too hard to automate, too complicated, too much nuance.

I completely understand where that comes from, because I felt the same way just a few years ago. For example, most of the custom development we are doing at DataCose is now done by AI. If you had asked me two or three years ago whether that could be automated, I would have said absolutely no way. Maybe I could have read some of the writing on the wall and seen how AI was progressing, but it was impossible to imagine it handling nearly the whole software development life cycle. It is a complicated process, or so I thought.

[ON SCREEN: "SOPs and guardrails, not if then rules"]

Today's AI employees are not a piece of code running a bunch of if then rules and breaking at every edge case. They follow an SOP, and there are clear guardrails on what they can and cannot do. If they bump into something unexpected, they step back, observe, and start to reason about how to overcome the obstacle on their own. And if they cannot overcome it, they ping a human and explain in plain English what the blocker is and what they need in order to be unblocked.

For example, we have had API keys expire. Instead of a cryptic error buried in a server log somewhere, the AI employee pings a team member, tells them exactly what it needs, and gives step by step instructions to go into the system, generate the new API key, and provide it back. It is absolutely incredible.

[ON SCREEN: "A self optimizing machine"]

These AI employees are also capable of improving over time. If you define goals for each of your workflow SOPs, which really is not hard to do, you can have an AI manager meet with every single AI employee every day, look at everything they have done, and strategize together on how to improve that SOP to hit the goal more reliably or more quickly. It can surface real optimizations to each of your processes for you to review and approve every single week. It is truly building a self optimizing machine to power your entire business.

I truly believe that right now, about 50% of the tasks businesses do every day can be delegated fully to AI employees, and personally I am leaning closer to 80% based on what we are seeing. That is not a guess. It is what I see every day across working with over 50 service businesses.

I am not sharing that to flex. I am sharing it to show you that it is actually possible. In this video I am going to show you exactly how it works.

From what I am seeing, about 50 to 80% of service business work can actually be automated by AI employees. When you do that, you free up your human team members to do incredibly high value work.

In this video I want to pull back the curtain on what a digital HQ actually is, how it is built, and what it changes for a service business. It is what I actually see when a service business owner comes to me for help, and all the progress we make together in just 90 days.

Before we dive into the solution, let me start with the problem. In almost every service business that comes to us, there are four problems that are always true.

First, important business knowledge about processes, clients, and deals lives inside people's heads, not inside systems. The only way to get an update on a project or a task is to ask the person managing it. If they are unavailable, or if they leave, you are completely stuck.

Second, AI is completely underutilized. More often than not, it is just a little email editor, and it can do so much more. People have ChatGPT open in the browser and use it for a quick draft here, a quick email response there. That is nowhere near an AI employee. It is an assistant winging it alongside one team member, with no proper guardrails, no accountability, and no way to spread that work across the organization to make a real impact.

Third, data is scattered across 10 or more tools, and of course the tools do not talk to each other well. Some integrate halfway, enough to keep the lights on, but it is far from ideal or efficient. On top of that, we see a lot of aspirations for how processes should work, and in reality people do not follow them. Ask yourself how well you are maintaining your CRM notes about your current customers, your leads, and the deals in your pipeline. That is one area where the ball is dropped constantly.

And the last thing these businesses have in common is that the founder, or one key member of leadership, is the biggest bottleneck in the business. Everything depends on them. If they are unavailable, or sick, or in the worst case they leave and can no longer continue working, it is a house of cards that crumbles immediately.

Here is the good news. What I just described are not people problems. They are simple problems, and simple problems have simple solutions.

Why is growing a service business so challenging?

I have sat across the table from dozens of service business owners and I have heard the same thing many times. Their revenue is up, their team is bigger, but somehow every step forward feels like a half step backwards. They are not wrong. It is not bad luck. It is math.

MIKE: We grew 382% in the last year alone. When we started, we were struggling to get 20 or 30 paying members for months. Today we have over 500 active recurring members, nearly 600 now, and we are generating roughly 50,000 a month in gross revenue.

DYLAN: Today I am sitting down with Mike, the founder of Renaissance Club, to talk about what we built together, what it took, and the numbers on the other side of it. Mike, let us start at the beginning. What were your biggest concerns when you went looking for a dev team?

[ON SCREEN: "The concern: not just an engineer"]

MIKE: The biggest struggle was figuring out how to build a system that filters and organizes data in a way that reduces complexity and makes doing this at scale possible. So my biggest concern was finding someone who was not merely an engineer, but an actual data scientist and a systems expert. Someone who can think big and hold the immense complexity of how a system like that gets designed most efficiently in reality, not just in theory.

DYLAN: And beyond the tech, were you also looking for someone who could understand the business side?

MIKE: Oh yeah, absolutely. I wanted the most holistic view possible, from every line of code all the way out to the emotional human experience, and everything in between, end to end. It is not enough to just have a generalist, and it is not enough to have a sniper expert. Having people who can really fill both roles is a unicorn, but it is really important.

DYLAN: So why did you ultimately choose DataCose?

MIKE: I chose DataCose because I felt like I got exactly that. We started with a hybrid approach, sort of Airtable but souped up with a custom platform on top. And after two and a half, three years, we are now building a completely custom platform. That is the only thing that has allowed this to even happen.

DYLAN: I want to ask about the early days specifically. In the beginning it is scrappy. There are funding constraints, time constraints, all these tight constraints, and you are trying to balance building the best product at the lowest cost in the fastest time. How did we work through that with you?

MIKE: This was a relatively radical idea, and there really was no blueprint for it. So DataCose was absolutely essential in being ultra flexible. We were trying to build a minimum viable product that people could actually use, and you and Wouter were instrumental in helping me decide what should ship and what should stay. What we should push to later, what is less important, what is more important, what is crucial. That was a lot of conversation, a lot of big picture and creative thinking before anything was even built. This was an absolutely untouched space.

[ON SCREEN: "Most products have a road map. This one didn't."]

DYLAN: With most products there is a road map. Many people have done it before, so you know roughly what to build, then you pick your differentiator and ship it to market. A lot of the time the difference is more in the marketing than in the thing itself. An insurance company is an insurance company. They all work the same way, the terms are just different. With you, we were building a completely new product.

MIKE: That is right.

DYLAN: And I should be transparent, Renaissance Club is a unique project in our portfolio. We are not typically bringing brand new ideas to life. It is more risky and honestly a lot harder. Most of our projects go into existing businesses, typically service based businesses, helping them productize a service that already works. There are proven workflows and a road map, and the chances of success are much higher.

[ON SCREEN: "The relationship is the project"]

DYLAN: Which is why, on a project like yours, your attitude and how you show up defines so much. We have to work together, and there are going to be problems and challenges and tough things. It is a really hard thing that we are doing together.

MIKE: Absolutely, and that goes both ways. You guys are unbelievably professional, but also very human and friendly and kind. I do not feel like I am working with a corporation. I feel like I am working with a group of human beings. I think that is crucial to feel on both sides.

[ON SCREEN: "Staying on the edge"]

MIKE: One thought I really appreciate about DataCose is how you are constantly researching and trying to stay on the cutting edge of what is possible. The tech sector is probably the fastest growing and fastest changing sector in the world, and it has been for a while, so keeping up with what is possible is its own full time job.

You guys are not resting on your laurels. You could solve tons of problems for tons of people without learning anything new, maybe keeping up with a few updates here and there. Instead you are constantly stretching yourselves. As a client, that makes me feel so safe, because I know what we are building uses those new capabilities, even if it is the first time you are using them. You are not afraid to move fast and try new technologies and new protocols. That is one really crucial reason I feel like we will not be left behind.

[ON SCREEN: "The AI conversation has changed"]

DYLAN: There are some exciting things coming your way with AI first.

MIKE: Oh yeah. I have been thinking a lot about how to use it. Funny enough, we originally felt AI was not useful in many cases, because it was more uncertain than the algorithm we had already built. But for things like suggested itineraries, that is changing.

DYLAN: I would say the conversation we had before is not the same conversation anymore. The tech has really improved. Back then it was not feasible. Now I think it is coming your way. As a side note, this quarter we are really focused as a company on AI. We are doing a lot internally to experiment with it, and the idea is to be able to lead you and our other clients through the next few years, because I think it is going to change everything.

[ON SCREEN: "AI as a tool, not a threat"]

MIKE: There is no question. Figuring out how we continue to be valuable to people is a big reason I wanted Renaissance Club to pivot toward community, because that is something AI cannot solve. AI can give people suggestions for great experiences that meet all their criteria. It can do that. What AI cannot do is give them deals on it, at least not consistent deals on everything, and it cannot ensure that you are going to be at that pottery class with ten other members of a like minded community.

So leaning into community building while removing all the friction from discovering experiences, in one hybrid social engine, is really what we are trying to build now. AI will be a tool there, not a threat.

DYLAN: It is really good that you are not just thinking about it, you are aligning your strategy to be AI friendly. AI is starting to have some notion of tasks and schedules, sending reminders, doing things. It is moving toward potentially even booking something for you. But past that point, the rest has to be engineered. It has to be put together by someone. It has to be deliberate.

[ON SCREEN: "The numbers"]

DYLAN: Let us talk about outcomes. What quantifiable improvements have you seen since implementing?

MIKE: I do have very good quantifiable numbers, and that is really thanks to DataCose. We grew 382% in the last year alone. When we started, we were struggling to get 20 or 30 paying members for over a few months. Today we have over 500 active recurring members, nearly 600 now, and we have had more than a thousand members total since we started. We are currently generating roughly 50,000 a month in gross revenue.

We are also generating tens of thousands of dollars per month for small local businesses and vendors. So we are really bolstering small local businesses, which is a huge piece of why we exist. To help not just members, but vendors that people normally would not stumble on.

[ON SCREEN: "Retention is the real proof"]

MIKE: What I am most proud of, though, is that we have so many members who have been with us for over a year, and some for more than two years now. That shows me what we have built is not merely a fun sounding idea. It is one that delivers consistent value that makes people keep coming back.

DYLAN: Can you share a story about working with DataCose?

MIKE: It is hard to share just one, because there are so many examples. DataCose has consistently gone above and beyond in every way imaginable. What I love most about this team is that you do not feel like robots for hire who merely do whatever I ask and execute. Every team member treats this project like an owner. You are incredibly engaged, no egos. We very much have a best idea wins mentality and nobody is afraid to disagree if they feel something can be better or done more efficiently.

[ON SCREEN: "Weekends and vacations"]

MIKE: There have been so many cases where Wouter or Radon or you met with me on weekends, or while on vacation, to solve urgent problems. I never want to abuse your time, but you have been incredibly generous and honest, which is invaluable for a first time solo founder bootstrapping the cost of everything.

Transparency and honesty are enormous. Being able to go to sleep at night knowing you are not being exploited or stretched for money, that nobody is saying this will take ten hours when it could really take one or two. People who are not in this world do not always know how much that matters. You just make people feel super safe. So it is not really a story, it is more a constant tone of gratitude.

[ON SCREEN: "Same side of the table"]

DYLAN: We take that really seriously. I feel the same way about the team. I know that if something breaks, I can trust them to go handle it. You and I are on the same side of this.

MIKE: We absolutely are. It is crazy, because especially getting into something for the first time, you expect the first three relationships you have to go really poorly. To be fair, I did interview four or five people. I found you guys on Upwork. But after talking to you, I felt by far the most confident.

[ON SCREEN: "The red flag: instant yes"]

MIKE: And maybe this is a story of sorts. I remember distinctly that everyone else I interviewed very quickly said, oh yeah, yeah, we can do that, no problem. That is usually a red flag for me, because I do not think they actually heard what we were trying to build. If you are very quick to say of course we can do it, no problem, I do not think you truly listened.

You were very thoughtful. You really considered everything I was saying, and you were cautious and slow about what was possible because you were deeply trying to understand. This was back at the very first iteration. Renaissance Club has evolved tremendously since then, but even that first idea was quite complex. You were so transparent. Here is what I think we can build, and it is going to take a lot of talking and back and forth. There was none of this pay up, relax for two months and we will have it done. It was, this is going to be a consistent conversation and there are a lot of unknown unknowns. That gave me the confidence that you were really listening and trying to stay aligned with me, not just trying to get a paycheck.

[ON SCREEN: "The call where everyone was wrong"]

DYLAN: I have a funny story for you while we are here. A few weeks ago there was a call where internally there was a disagreement about how something should function. Radon had a bet on how it should work. It was about whether a time should be clickable and selectable, and what the function of a certain view actually is. Radon said the real use of that view meant the time should not be clickable, which felt very counterintuitive. Wouter and Casper immediately said, well, obviously it should be clickable. But there was a reason it should not be, and Radon was in fact right.

MIKE: I do remember that. That is hilarious.

DYLAN: And later in that same call, we were all stuck on another problem, and Irina, who had been quietly listening the entire time and had not said a word, suddenly said, can I suggest something? And she came up with a solution that immediately made everyone go, oh, duh.

MIKE: I just remember party hat emojis flying up. It was really cool. I love those collective calls where everyone is firing creatively, not just executing tasks. It feels like working with a bunch of artists. Technical artists. It is really cool.

[ON SCREEN: "So what is Renaissance Club?"]

DYLAN: Last thing. For anyone watching who does not know, how would you introduce Renaissance Club?

MIKE: One line I have been saying recently is, if life had a surprise me button, this would be it. We are a membership service that sends members on a unique mystery experience, prepaid, each month. Everything from archery to pottery, cooking classes, kayaking, blacksmithing, helicopter flight lessons, and a hundred other experiences.

I noticed that adult loneliness and stagnation are two problems that are separate but interrelated. People tend to be very stuck in their routines and in the general monotony of a life or a relationship. My hypothesis was that the reason for that, more than anything, is friction. It is basic human nature to take the path of least resistance, and we often do not explore new things proactively because it requires so much research, planning, and logistics to try new things on a regular basis.

[ON SCREEN: "It's like running an airline"]

MIKE: So Renaissance Club was a question and an attempt to see if you could remove all of that friction for people, end to end, in a way that actually works in reality. With their changing lifestyles, with all the complexities of the vendors, and all the complexities of the members and their criteria and availability.

In that way, the project is a little bit like creating an airline. You have all these moving parts you need to constantly connect in a systematic way. And this is not possible without a team that is obviously very tech savvy, but also very high level and systems oriented. That is really the whole art form. How do you organize all of this information in a way that is actually useful, so a concierge can book somebody for the perfect experience with the perfect people, in under five minutes, out of a hundred choices? How do you do that? That is really what we are doing. Which is miraculous that we were able to do it.

I hired five project managers, five. Not bad ones, not cheap ones. By the final hires, I was bringing in project managers with great experience and incredible resumes. Each one costs more than the last, but every single one of them failed.

And unfortunately, it took me five attempts and three years to figure out why. It wasn't a people problem, it was actually a systems problem. And the moment I understood that, [music] everything about how I run my company changed.

Before I get into it, quick background. I'm Dylan, and I spent five years building systems inside of service businesses. My agency, Data Driven Design, grew to over 20 team members. We've worked in over 60 businesses throughout that time.

And across all of it, I kept seeing the same thing. Smart owners trying hard, but failing for the same reason. Not because they weren't capable, because they kept trying to solve a systems problem with people. All right, so the first few years at Data Driven Design, every week looked the same.

Timelines slipping, clients asking where things are, my team rushing to get things done on time, and me being in the middle of it trying to hold it all together. And the obvious solution, what I kept hearing from every advisor, every book, and all of my research, was to hire a project manager. So, we hired one.

Here's what kept happening. They couldn't stay in the loop on all of our projects simultaneously. The context was too much, and the details moved too fast. And without full real-time context over all of the projects, they really couldn't manage any of them.

What they could do [music] really well was send some emails and schedule some calls. So, that's what project management became at Data Driven Design. And with time, we thought maybe we needed someone more senior, with more experience, with more knowledge in our domain.

[music] And if only we got that, they'd be able to handle all of the context. Second [music] PM, third, fourth, fifth. Three years. Each one costs more. Each one failed for the same reason. And here's the question that finally broke through to me after attempt number five.

Instead of asking what's wrong with these people, I looked at the role and asked, "What about it is making them fail?" And that's when I saw it. The project manager role, as we designed it, required them to hold an impossible amount of context simultaneously across multiple projects and team members. And they [music] had to act on that context perfectly in real time 24/7.

And the truth is, there aren't many people who can do that. Even the best of us will struggle. So, we haven't had a hiring problem for 3 years. We had designed an impossible job and kept trying to fill it with people. This was our [music] system problem.

So, how did we solve it? Well, we stopped trying to hire and we started building our way out of it. We created our own internal project manager, not person, an AI employee, a system that could hold all of the context, that could track every project, every timeline, every client communication, and surface it at the exact moment we needed to know about it.

And here's the thing about everything that had been killing our project managers. The volume, the context switching, [music] never feeling like they could log off. These are all strengths of AI. Today, I'm using AI roughly 8 hours plus a day, not occasionally, continuously.

And I'm not just talking about in my browser, chatting with ChatGPT, Gemini, or Claude, but actually working with them as team members on my team. I use them to help with blog posts, LinkedIn content, gathering and writing project requirements, preparing proposals, taking notes in our CRM, developing our solutions, and now even making UI/UX mock-ups. When I think about how we used to do all of this work manually, it's honestly insane to me.

It's like doing research before Google. The landscape has completely shifted, but most businesses are still operating like it's 5 years ago. So, let me paint you a quick picture. A bad week at Data Driven when I first started looked like 7 days of fire fighting, timelines off, client calls I wasn't fully prepared for, team was stressed, and I was buried inside of the operations of my business instead of working on [music] it to grow it.

The three win conditions for the week were survived, didn't lose a client, and [music] didn't miss every deadline. Now, a good week we solved one key problem very, very, very well that has tremendous value and huge ROI. It's also one where we actually deliver early on all of our timelines.

That shift from surviving to building really happened because we stopped trying to put people into impossible or very challenging roles. And that shift from surviving to building started happening when we stopped trying to squeeze people into impossible roles and started allowing humans and AI to [music] do what they're best So, if I could go back and tell myself something 3 years ago, here's what I'd say. Stop trying to hire your way out of a system problem. Give your team real autonomy.

Give them a clear scoreboard, how close they are to their target in real time, set expectations, set targets, and hold them accountable. And what gets measured improves. Honestly, what I'm talking about wasn't all fully possible 3 years ago.

AI has improved tremendously. But now that I have AI, I'd also add the advice to build a an AI layer that supercharges you and your team. And please, if anything, don't waste 3 years like I did, and don't go through five expensive hires.

And that's if you're even providing reports at all.
